Health Insurer Automates Delegate Compliance Reporting, Saving $1M Annually
Challenge
One of the largest US private health insurers, covering more than 16 million members and 85,000 employees, relied on a team of 10 to manually solicit, validate, and process monthly compliance reports — multi-worksheet Excel files with strict formatting rules — from 400 delegated healthcare providers. Because the email platform had no API, the entire monthly cycle took three weeks, much of it spent validating reports and chasing corrections. Any new platform also needed to protect PII and HIPAA data in transit and at rest, avoid the mistrust a third-party VDR brand would introduce, and expose an API so the insurer's own CMS reporting application could be notified automatically.
Solution
The insurer deployed eSHARE as a simple, insurer-branded web portal with Virtual Data Room functionality, letting delegates upload compliance reports with no software or plug-ins required. eSHARE performed in-line validation against the insurer's Excel template — checking required and conditionally-required fields, dates, member numbers, and diagnostic codes — and added a data transformation step that converted the validated Excel file into a clean CSV ready for ingestion into the insurer's reporting application.
